Inventory Sync Across Platforms — Avoiding Overselling Disasters

Tools and strategies for keeping stock levels accurate across Amazon, Etsy, eBay, TikTok Shop and Shopify simultaneously.

The Nightmare of Overselling

There is nothing worse in multi-platform ecommerce than selling an item on Amazon that you just sold on Etsy 10 minutes ago. Overselling leads to cancelled orders, negative feedback, platform penalties and frustrated customers. As I expanded my own brand across 5 platforms and 7 marketplaces, inventory sync became one of my biggest operational challenges.

Manual Tracking Does Not Scale

When you sell 2-3 items a day across two platforms, you can manually update stock counts. At 20+ orders a day across five platforms, manual tracking is impossible. One busy period where you cannot update stock fast enough leads to overselling disasters.

Inventory Management Tools

Multi-channel inventory tools automatically sync stock levels across all your selling platforms. When a sale happens on Amazon, the tool reduces available quantity on Etsy, eBay, TikTok Shop and Shopify within minutes. Popular options for UK sellers include Linnworks, StoreFeeder, Expandly and Sellbrite.

These tools connect via API to each platform and can also help with listing management, order processing and shipping label generation. They typically cost £50-200+ per month depending on order volume and features needed.

Safety Stock Strategy

Even with sync tools, build in a safety buffer. I keep a small reserve of stock (typically 5-10% of inventory) that is not listed on any platform. This catches the rare sync delay or the occasional day when orders come in faster than the sync can update. Better to show slightly lower stock and never oversell than to maximise listings and risk cancellations.

FBA Complicates Things

If you use FBA on Amazon, remember that FBA stock cannot be instantly redirected to fulfil orders from other platforms (unless you use Multi-Channel Fulfilment, which has its own costs and lead times). This means you need to decide how to split inventory between FBA and self-fulfilled channels. I typically send 60-70% of stock to FBA and keep the rest for fulfilling other platform orders myself.
